PRIORITY ASSIGNMENT PROCESS

We have postponed our Utility Expo exhibit space selection process, which was scheduled for next week, October 14-18.
We have just been informed by the Kentucky Exposition Center (KEC) that they have decided to start construction on one of the outside lots one year earlier than they had originally anticipated. This change in construction schedule impacts a portion of the outside space.
Therefore, our team made the decision to delay the space selection process so we can offer all exhibitors a clear view of the revised floor plan for the show. We are working with the KEC on an alternative space plan that meets the expectations of the Utility Expo. We will be in touch in early November to reschedule your space selection appointment.

Priority Assignment Process
All exhibitors who submitted applications by August 16, 2024 will be assigned booths in priority order during our live space selection.
To be qualified to participate in the Priority Assignment Process, the exhibitor must meet the following criteria:
- Submit their space application by August 16, 2024
- Submit their 50% booth space deposit
- Have at least 10 priority points
- Requesting at least 400 square feet for indoor exhibitors
Prior to the scheduled space assignment selection time, Show Management will share a live floor plan so the appointed contact can view an up-to-date floor plan at anytime throughout the entire space assignment process. Each exhibitor will have a limited amount of time to select their space, so Show Management asks that exhibitors review the floor plan ahead of their appointment.
*Exhibitors with less than 10 priority points or indoor exhibitors requesting less than 400 square feet of space will not receive a virtual appointment. Show Management will place these exhibitors in order of their priority number into the best available booth space. These booth locations will be communicated at the conclusion of the live space selection.
The Process is as follows:
Exhibitors requesting outdoor space that have:
- submitted their applications and 50% deposits by August 16, 2024, AND
- have 10 priority points or more will be assigned a date/time to select their space location within their product group.
Exhibitors requesting indoor space with 400 square feet or larger that have:
- submitted their application and 50% deposit by August 16, 2024, AND
- have 10 or more priority points will be assigned a date/time to select their space location within their product group.
Indoor exhibitors requesting less than 400 square feet that have submitted their applications and 50% deposits by August 16, 2024, will be assigned space based on their priority number.
After August 16, 2024, any exhibitors who return their application and 50% deposit will be assigned on a first come, first served basis.

The priority formula is used to calculate the order in which spaces are assigned. It is as follows:
Definition of Years of Membership
Show Management chooses the company/division with the greatest number of years as an AEM member. An exhibitor must be a current member in good standing with AEM in order to have its years of membership used in calculating the member number.
Definition of Past Participation number
Show Management uses the total square footage purchased by an exhibitor for The Utility Expo 2023. If a company acquired another company(s), the parent company can use the newly acquired company(s) space.
The priority period closed on August 16, 2024. All space applications received after this date will be assigned after the completion of the live space draw. All exhibitors will be assigned on a first come, first served basis in the order the application was submitted. Assignments will be done on an ongoing basis and communicated bi-weekly via email to the exhibitor contact.

The following product groups were used to determine space allocation for both indoor and outdoor exhibitors based on the category selection on the exhibitor space application.
The goal of the product concentration areas is to make it easier for attendees to locate products or services they are seeking at the show.
